Family Generations Expo Rules and Regulations

FAMILY GENERATIONS EXPO EXHIBITION RULES AND REGULATIONS

  1. EVENT MANAGEMENT: For the purposes of this agreement, all references to Family Generations Network and the Family Generations Expo are listed as Event Management. The Exhibition Rules and Regulations apply to all exhibitors and sponsors.
  2. ELIGIBLE EXHIBITS: Exhibits will be limited to those companies or other entities offering materials, products or services of specific interest to attendees. Event Management reserves the right to determine the eligibility of a display. Only the sign of the Exhibitor whose name appears on the face of this contract may be placed on the exhibit space or in the printed list of Exhibitors. No articles shall be posted or attached to any walls, doors, columns, floors, etc. Event Management reserves the right to reject, eject or prohibit any exhibit in whole or in part, or Exhibitor or their representatives upon the Event Management’s good faith determination that the same is not in accordance with these Rules and Regulations.
  3. APPLICATION CONTRACT: Each Exhibitor must execute a contract of which these Rules and Regulations are a part, for the right to use the space assigned. Event Management has the right to deny any application. Monies for any application that is not approved will be returned to the contact listed on the application. Applications submitted without full payment will not be processed and no space will be reserved. All returned checks will incur a $50 service fee and the issuer will pay all related bank charges and legal expenses incurred by Event Management.
  4. PAYMENT, CANCELLATION AND REFUND POLICY: Full payment is due with a signed application. In the event of natural disasters or other unavoidable circumstances rendering it impossible or impractical for the Expo to take place, all payments made by the Exhibitor for exhibit space shall be returned to the Exhibitor minus a processing fee of $50. If the Expo is rescheduled, the Exhibitor will have the choice of a refund or exhibit space within the rescheduled event. Exhibitor waives any claim for damages or compensation for cancellation. Any notice of cancellation by Exhibitor must be received in writing. If written notice of cancellation is received more than 30 days prior to the event, Event Management will refund the balance minus a $100 non-refundable deposit. If written notice is received 30 days or less, prior to the event, a 50% refund will be given. Written notice of cancellation must be mailed to: Family Generations Network, PO Box 20734, Milwaukee, WI 53220.
  5. ELECTRICAL: Electricity is available at the facility for an additional fee and requires advance notice. Exhibitor is responsible for notifying show management prior to booth assignments so Exhibitor can be assigned a space near an electrical outlet. Exhibitor provides their own grounded extension cord. All wiring on displays and fixtures must conform to the applicable standards established by various Governmental Agencies and standard fire inspection ordinances.
  6. BOOTH ACCESSIBILITY: All Exhibitors must comply with the Americans with Disabilities Act (ADA). Exhibitor warrants and represents its exhibit will be accessible to all individuals in accordance with the ADA. Each Exhibitor has the responsibility to assure proper traffic flow. Aisles must not be obstructed at any time. 
  7. DEFAULT IN OCCUPANCY: If exhibition space is not occupied by the time set for completion of installation of displays, such space may be possessed by Event Management for such purposes as it may see fit.
  8. SUB-LEASING: Exhibitor shall not sublet their space or display anything not specified in the contract. Exhibitor may not exhibit, offer for sale, or advertise articles not manufactured or sold in their own name. Rulings of Event Management shall in all instances be final with regard to use of any exhibit space.
  9. DAMAGE TO PROPERTY: Exhibitor is liable for any damage caused to building floors, walls or columns, or to standard exhibit space equipment, or to other Exhibitor’s property. Exhibitor may not apply tape, adhesives, or other coating to building walls, doors, columns and floors.
  10. SAFETY AND FIRE LAWS: All applicable fire and safety laws and regulations must be strictly observed by the Exhibitor. Cloth decorations must be flameproof. Wiring must comply with local Fire Department and Underwriters’ Rules. Smoking in exhibits is forbidden. Crowding will be restricted and aisles and fire exits must not be blocked. No storage behind exhibits is provided. It is the Exhibitor’s responsibility to ensure safety measures are taken during all demonstrations.
  11. DECORATIONS: Event Management shall have full discretion and authority in the placing, arrangement and appearance of all items displayed by Exhibitor and may require the replacing, rearrangement or redecorating of any item or of any exhibit space at the Exhibitors expense. Inflated and helium balloons are not allowed.
  12. SOUND AND LIGHT LEVEL: Mechanical or electrical devices which produce sound or light must be operated so as not to be disturbing to attendees and other Exhibitors. Event Management reserves the right to determine the acceptable sound and light level and may request removal of the device(s) in some instances.
  13. EXHIBITOR SALES: Exhibitors wishing to conduct sales within their exhibit space are subject to rules set forth by Event Management and the facility. Exhibitors will be responsible for all applicable federal, state and local taxes. No food or beverages may be sold from any exhibit space unless approved in writing by Event Management. The distribution of any items that interfere with the activities or obstructs access to neighboring exhibit spaces, or that impedes aisles, is prohibited.
  14. INSURANCE: No insurance coverage for Exhibitors is provided by Event Management or the event facility. Exhibitors and sponsors are advised to obtain such coverage at their own expense. Exhibitors and sponsors bear exclusive risk of loss for all property brought into the event facility.
  15. NOTICE OF PHOTOGRAPHY AND MEDIA RECORDING: Exhibitor acknowledges they are in an area where photography, audio, and video recording may occur. By entering the event premises, Exhibitor consents to such recording media and its release, publication, exhibition, or reproduction to be used by Event Management for promotional purposes, advertising, inclusion on websites, social media and web casts. Exhibitor further waives all rights to any claims in connection with any exhibition, streaming, web casting, or other publication of these materials, regardless of the purpose of sponsoring of such exhibiting, web casting or other publication. Before, during or after event hours, Event Management prohibits any photography, video and/or audio recording, on the premises except by Event Management personnel. Violators may be subject to removal from the premises, confiscation of equipment/media, and/or referral to law enforcement authorities.
  16. DISMANTLING OF EXHIBITS: All exhibits must remain fully intact until the Expo has officially ended. Disturbing or tearing down an exhibit prior to the official closing time of the Expo can result in a penalty and a refusal by Event Management to accept or process exhibit space applications for subsequent exhibition.
  17. TERMINATION OF EXPO: In the event the premises in which the Expo is to be conducted shall become unfit for occupancy, or in the event the holding of the Expo is substantially interfered with by any cause or causes not reasonably within the control of Event Management, said contract and/or the Expo (or any part thereof) may be terminated by Event Management. For purposes hereof, the phrase “cause or causes not reasonably within the control of Event Management” shall include, but is not limited to, governmental restraints; epidemic; fire; flood; inclement weather; strike or boycott; local, State or Federal laws, ordinances or decrees whether legislative, executive or judicial; or Act of God.
  18. INDEMNIFICATION: The Exhibitor, upon signing the Application and the Contract, agrees to indemnify and hold harmless Family Generations Network, its affiliates, the Milwaukee County Sports Complex, their officers, employees and contractors, from and against any and all claims for loss, property damages, personal injuries, death and/or expenses, including attorney’s fees, arising out of or resulting from the Exhibitor’s participation and occupancy of space at the event listed below.
